Job Details

The HR Onboarding Coordinator provides administrative, analytical, and technical assistance in the onboarding processes and administrative support to the HR team. This position also partners with our recruiting and HR information team and provides backup support in case of need or absence.

The HR Onboarding Coordinator will provide world-class onboarding support and technical analysis throughout North America. The HR Onboarding Coordinator is creative, pragmatic, and solutions-driven and can handle a multi-disciplined position in a fast-paced environment.

This role interacts with various internal departments, legal counsel, operating locations, front-line managers, and key contacts with current and potential customers.

Who You Are

  • Excellent phone and communication skills are required.
  • Ability to manage multiple or several projects at once.
  • Strong administrative and analytical skills.
  • Self-motivated and able to work with minimal supervision.
  • Proficient in Microsoft Excel and Word.
  • Exceptional organizational skills.
  • Knowledge of the transportation industry a plus.

Responsibilities

  • Manage daily onboarding activities, including creating employee IDs in the UKG system, and partnering with Recruiters and Hiring Managers to ensure a smooth transition for new hires.
  • Managing onboarding documents to ensure timely and accurate completion.
  • Schedule and coordinate background checks and drug screens as required by role specifications.
  • Conduct employment verifications and reference checks in compliance with FMCSA regulations.
  • Conduct regular audits of HR data to ensure accuracy, compliance with policies, and resolve any discrepancies.
  • Facilitates and/or provides training through the coordination of our UKG manager orientation program.
  • Support internal and external customers by analyzing and providing insights on reporting metrics in the Business Intelligence system.
  • Provide administrative support for the HR Core System (UKG Pro) and Applicant Tracking System
  • Participate in or lead HR information-related special projects as needed.

Qualifications

  • The minimum education or formal training for this position includes the following Provincial/State or other vocational or professional certification, trade license, apprenticeship or degree.
  • 1-2 years in an HR or practicum position.
  • Degree or Diploma with a major in Human Resources an asset.
